How this site handles your data
This policy describes exactly what happens when you use the contact form on useautomatehub.com. It reflects how the site is actually built — it is not a generic template.
1. Who is responsible
The site is operated by AI Automate Hub ("we"). For any question about this policy or your data, write to useautomatehub@gmail.com.
Legal entity details, registered address and, where applicable, company registration and VAT numbers are not yet published. They must be confirmed by the operator before the site goes live. This page will be updated at that point.
2. What we collect
Only what you type into the contact form:
- Name — required, to address you.
- Email address — required, to reply to you.
- Company — optional.
- Topic — the subject you pick from a fixed list.
- Message — required, the description of your process.
That is all. There is no account, no login, no newsletter signup and no profile.
3. What we do not collect
- No analytics, no tracking pixels, no advertising identifiers.
- No cookies are set by this site.
- No IP addresses are stored, and no request content is written to server logs.
- We do not ask for payment details, and the form never requests them.
- We do not collect special-category data. Please do not send it.
4. How the form works
When you press Send message, your browser sends the fields above as JSON to the site's own server endpoint (POST /api/contact). The server validates them and passes them to Google's mail service (Gmail SMTP) to deliver them to our inbox.
The message is not stored in a database and is not saved to any file on the server. It exists in two places only: our email inbox, and your own email account if you choose to send a copy.
The site tells you the message was sent only after Google's mail server has accepted it. If delivery fails, you are told it failed and given the address to write to directly. We never show a false success message.
5. Why we process it — legal basis
We process your details to answer the enquiry you sent us. Under the GDPR this is Article 6(1)(b) — steps taken at your request prior to entering into a contract — and, where no contract follows, our legitimate interest in responding to business enquiries, Article 6(1)(f).
We do not use your data for marketing and do not add you to any mailing list.
6. Who else is involved
- Google (Gmail) — receives and stores the email. Google processes data under its own terms, and may transfer data outside the EU under the safeguards described in Google's data processing terms.
- Our hosting provider — hosts the website and transmits the form submission to the server.
- Google Fonts — the site loads typefaces from Google's servers. When your browser requests them, Google receives your IP address and browser details. No cookies are set by this request.
We do not sell your data and do not share it with anyone else except where the law requires it.
7. How long we keep it
Enquiry emails are kept for as long as needed to handle the conversation and any work that follows, then deleted. If no work follows, we delete the enquiry within 12 months.
8. Your rights
You can ask us to:
- confirm what data we hold about you and give you a copy;
- correct anything inaccurate;
- delete your data;
- restrict or object to the processing;
- receive your data in a portable format.
Write to useautomatehub@gmail.com and we will respond within one month. If you are not satisfied, you may complain to a data protection authority — in Czechia, the Office for Personal Data Protection (Úřad pro ochranu osobních údajů).
9. Security
The form submission travels over HTTPS. Email delivery uses an encrypted connection to Google's mail servers with certificate verification. Access to the receiving inbox is limited to the operator.
Email itself is not a perfectly secure channel. Please do not send passwords, payment card numbers or identity documents through the form.
10. Children
The site is intended for businesses and is not directed at children. We do not knowingly collect data from anyone under 16.
11. Changes
If how the site works changes, this page is updated. The current version describes the site as built at the time of writing.
12. Contact
useautomatehub@gmail.com — this is the only contact channel for this site. We do not publish a phone number.
